01. Scope

This policy applies to personal information handled through the Business SOS website and related interactions, including enquiries, scan requests, bookings, support messages and account services where available. A particular service may provide additional privacy information where needed.

Depending on how you interact with Business SOS, information may include your name and contact details, business information, website addresses, form responses, booking information, messages, documents you choose to provide, and technical information generated when the website is used.

03. How and why we use information

Personal information may be used to respond to enquiries, provide requested diagnostics or support, generate and explain Business Scan results, provide secure customer-dashboard access, transcribe voice notes when requested, arrange meetings, operate and secure the website, improve services, keep appropriate business records and meet legal obligations. Customer dashboard access may use a one-time email sign-in link and a limited account record linked to the email address used for Business SOS services. Automated tools may assist with transcription and report narrative, but Business SOS uses deterministic scoring rules for the Business Scan signal and does not treat AI-generated narrative as regulated professional advice. The lawful basis used depends on the purpose and context of the processing.

04. Sharing information

Information may be shared with service providers that support hosting, email, scheduling, security, analytics, customer support, speech transcription or AI-assisted diagnostic processing where this is necessary to provide or operate the service. Business Scan narrative may be processed by specialist technology providers such as OpenAI; we minimise the information sent and do not intentionally send payment-card details, passwords or unnecessary sensitive information for this purpose. Recorded voice notes used for transcription are processed to create text and are not intentionally added to the Business Scan submission as stored audio. Information may also be disclosed where required by law or to professional advisers where appropriate.

05. Retention and security

Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected, taking account of legal, accounting, security and dispute-resolution requirements. Business SOS uses appropriate organisational and technical measures intended to protect information against unauthorised access, loss or misuse.

06. Your rights

Depending on the circumstances and applicable data-protection law, you may have rights relating to access, correction, deletion, restriction, objection and data portability, and the right to withdraw consent where consent is the basis for processing. You may also raise a concern with the UK Information Commissioner's Office.
